Physical File Tracking

The first step in your company's effort to go paperless may be to get control of the hard copy files you have now. Once this has been completed you may get a clearer picture of what needs to be done to move toward going paperless.

There are two ways to accomplish electronic file tracking of your hard copy files: bar-coding and RFID tags.

The bar-code has been used for many years to help companies get better control of the file tracking. Optical signals are used to transfer signals from the label to the reader, which then matches the information to a database. This application is easy to adapt to any environment or industry and has proven to be very cost effective.

RFID uses radio frequency signals to transfer information from the tag to the reader. The RFID tag sends out a unique identifier which can be matched to a database. This technology has been greatly improved with the introduction of Gen 2 tags and with advancements in reader hardware. The readers can be hand held or stationary and are easy to install. This application works well when there is a high cost associated with replacing a file or having to re-create a file. It is also easier to track files with this application than using a bar-code based method.
